Ongoing Remote IT Support Melbourne Case Study: Keeping a Freight and Logistics Business Moving

Client name withheld for privacy.

Summary

IT Engineering Pro, a Melbourne IT support company based in Oakleigh, provides ongoing remote IT support for a freight and logistics business. In freight, a printer that won’t print labels or a laptop that won’t log in can hold up bookings and deliveries, so the business needed someone who already knows its setup and can jump on remotely straight away.

We put a remote monitoring and management (RMM) agent on every device, set up a ticketing system for the helpdesk, and took over patching, Microsoft 365 administration and day-to-day troubleshooting.

  • Ongoing IT support for a freight and logistics business, not just one-off fixes
  • RMM agent on every device for monitoring, IT maintenance and remote technical support
  • Helpdesk ticketing so every issue is logged, tracked and followed up
  • Patch management for Windows updates and third-party apps
  • Microsoft 365 administration, including user setup, licences and MFA
  • Label printer and print queue troubleshooting to keep dispatch moving
  • Secure remote access, only with the client’s approval
  • On-site support when a problem can’t be fixed remotely

2. The challenge

3. Our ongoing IT support

Step 1: Audit and documentation

We started by documenting the whole setup: every computer, printer, user account and network device, along with the internet connection and Microsoft 365 tenant. That record means any of our technicians can pick up a ticket and know exactly what they’re working with.

Step 2: RMM agent on every device

We installed a remote monitoring and management (RMM) agent on each computer. It reports disk space, failed updates, offline devices and security alerts back to us, so we often see a problem before staff do. The same agent gives us secure remote access, and staff approve each session before we connect.

Step 3: Helpdesk and ticketing

Staff log issues by email or phone, and each one becomes a ticket in our helpdesk system. Tickets are prioritised, so anything stopping dispatch or bookings goes to the top of the queue, and nothing gets lost between calls.

Step 4: Patch management

Windows updates and common third-party apps are patched on a schedule, outside business hours, through the RMM platform. Failed updates are flagged and fixed instead of being left to pile up. It is part of the regular IT maintenance that keeps devices secure and running smoothly.

Step 5: Microsoft 365 administration

We manage the business’s Microsoft 365 tenant: creating and removing user accounts, assigning licences, enforcing multi-factor authentication, and sorting out mailbox, Outlook and Teams issues as they come up.

Step 6: Printers and dispatch

Label printers are critical in freight. We look after printer drivers, print queues and network printer settings, and when a label printer stops responding we can usually clear the queue or reinstall the driver remotely within minutes.

Step 7: On-site support when needed

When a problem needs hands on the hardware, such as a failed device, a network switch or cabling, we arrange on-site support so it is still fixed quickly.

5. Ongoing IT support FAQs

Remote IT support means a technician connects securely to your computer over the internet, with your permission, to diagnose and fix problems without needing to visit. Most everyday IT issues can be solved this way, often within minutes.

Ongoing IT support, also called outsourced IT support, means one IT provider looks after your business on a continuing basis, usually under a monthly IT support contract, rather than being called in only when something breaks. Your provider gets to know your systems and staff, handles everyday issues, keeps computers updated and maintained, and plans ahead as the business grows.

Yes, when it is done properly. A trusted provider only connects with your approval, using secure remote support tools, and you can see what is happening on screen. Never give remote access to someone who calls you out of the blue.

Freight runs on tight schedules. When a computer, printer or email account stops working, bookings, labels and paperwork can be held up, and so can deliveries. Fast remote support gets staff working again before delays reach customers.

Hardware faults, cabling and some network problems need someone on site. When that happens, we arrange on-site support so the issue is still resolved quickly.
